Position Overview: The main responsibility of the Bidding and Estimating Department is to accept and execute bid opportunities. The two roles within this department, Estimator and Assistant Estimator, work very closely to ensure the bidding process works effectively and seamlessly. The Assistant Estimator reports directly to the Estimator, who manages all the activities of the department. The following job description outlines the role in more detail.

Job Description: The Assistant Estimator works closely with the Estimator and Subcontractors to ensure our projects are presented for bid and that bids are received in a timely manner. The Assistant Estimator’s roles and responsibilities include but are not limited to:

  • Attend bid launch meetings to learn scope of work, and understand relationships involved
  • Responsible for scanning and printing plans & specifications
  • Coordinates with department personnel (Estimator and Project Manager) to assist them in establishing the project scope and standards of construction projects
  • Creates the Invitation to Bid (ITB) and loads plans on SharePoint to solicit bids from subcontractors
  • Responsible for finding and collecting all bids from subcontractors for projects that we are currently bidding
  • Finding new subcontractors to add to our database
  • Qualifies subcontractors to be placed on Suntech’s bid list including entering their information on the Master Sub List
  • Works to locate and build relationships with new subcontractors x Strengthens relationships with existing subcontractors by following up on a regular schedule and making sure they are happy and are continuing to bid our projects
  • Distributes bid tabs to subcontractors as needed x Distributes all important bid documents, and addendums/revisions to subcontractors during bid process
  • Works with the Estimator to keep the Master Sub List updated
  • Work with Estimator to learn how to put together estimates and do take‐offs for future projects

  • Enter project in Bid Log & assign bid number
  • Create and organize folders on company server
  • Post plans and other bid documents online
  • Update bid schedule for company
  • Create Bid Binders
  • Create Invitation to bid (ITB)
  • Send ITB to list of Sub contractors
  • Use online systems and software to distribute documents and ITB’s
